AI Voice & Chat Assistant

Our website uses BrainCX AI, an AI-powered voice and chat assistant, to answer questions and support your requests. BrainCX operates this feature on our behalf as our service provider (data processor). BrainCX maintains an information security program and is currently undergoing a SOC 2 Type II examination (observation period in progress) covering the security and confidentiality of the data it processes.

  • What we collect: Your voice input (if you speak to the assistant), chat messages and transcripts, conversation metadata (timestamps, session ID, device/browser information, IP address, language), and any contact details you provide during the conversation.
  • How it’s processed: To respond to you in real time, your input passes through an automated pipeline — speech-to-text (STT) to transcribe spoken audio, a large language model (LLM) to generate a response, and text-to-speech (TTS) to voice replies where applicable. If you speak with the assistant, your voice input is recorded and processed for this purpose. This processing does not make legally significant decisions about you on a solely automated basis.
  • Sub-processors: BrainCX processes this data under a data processing agreement and uses vetted sub-processors, including Deepgram (speech-to-text), OpenAI (large language model), and ElevenLabs (text-to-speech), along with cloud hosting providers. A current list of sub-processors is available at trust.braincx.com. These providers may process your data only to deliver the service. Your conversations and voice data are not used to train BrainCX’s or its sub-processors’ AI models. Authorized GIS and BrainCX personnel may review conversation transcripts for quality assurance purposes, such as monitoring accuracy and identifying errors.

Depending on your location, you may access, correct, delete, or restrict your data, object to processing, or withdraw consent.

Data Storage and Security

All customer and lead data is securely stored in our Customer Relationship Management (CRM) system, which uses industry-standard encryption and access controls. We take reasonable measures to protect your information from unauthorized access, disclosure, or misuse.


Cookies and Tracking

Cookies are small files stored on your device that help us provide a better website experience. You can manage or delete cookies through your browser settings. However, disabling cookies may limit certain website functionality.


Data Retention

We retain your information only as long as necessary to fulfill business purposes, comply with legal obligations, or maintain accurate records of client communications.

For the AI voice and chat assistant specifically, we retain voice recordings, transcripts, and related data for no longer than 180 days, or until the purpose for which it was collected has been satisfied, whichever occurs first, after which it is permanently deleted or de-identified — unless a longer period is required to comply with applicable law or to resolve disputes.


Data Transfers

Data associated with the AI voice and chat assistant is processed in the United States and other locations where BrainCX and its sub-processors operate, using lawful transfer safeguards such as Standard Contractual Clauses where required.


Your Rights

Depending on your jurisdiction, you may have the right to request access, correction, or deletion of your personal data, to restrict or object to processing, or to withdraw consent (including consent to voice recording by the AI assistant).
